Yacht Charter Management Software: Fleet, Bookings & Payments

Yacht CRM is an Arabic-first SaaS platform for running a yacht charter company: customers, bookings, the fleet, the money and the reports, in one place. It is built for charter operators in the UAE and their branches, and it works on desktop, in a mobile browser and through an Android app for the team.

If your company still closes the month by opening six spreadsheets and adding them up by hand, this article explains what a dedicated charter system changes, feature by feature. For the technical side, see how we built the Yacht CRM platform.

The problem it solves for charter operators

A typical Dubai charter business takes bookings over WhatsApp, rents some boats from suppliers, pays captains and fuel in cash, collects deposits by card and balances by transfer, and then tries to work out at month end which trip actually made money. Yacht CRM's own pitch is blunt: the sheets you used to open and add up by hand become one table that keeps itself current, and you open it in the morning and know what you made and where it went.

What the system covers

Bookings and clients

Every charter sits in one record: customer, phone, yacht, supplier, sale price, cost, amount collected and amount outstanding. Bookings can be filtered by book of business, status, collection state and date. Instead of scrolling through hundreds of spreadsheet rows, you type a name or phone number and the booking and its payments come back. A Clients & Leads area holds people and companies, and there is a calendar view and printable booking codes and VIP cards.

Fleet, catalogue and yacht movements

The fleet side includes a yacht catalogue, yacht packages, featured yachts and a yacht movements screen. Companies can publish a public catalogue where customers browse yachts with photos, packages and prices and then book directly over WhatsApp. A Yacht Companies section and a supplier field on every booking suit operators who also sell boats they do not own.

Crew, staff and permissions

A Crew & Sales module manages employees, with details stored in both Arabic and English, and separates internal employees from external contracts with their salary or contract value. Access is controlled by role: the site describes 21 permissions across 9 roles, so sales staff cannot see finance and an accountant cannot edit bookings. A salesperson can record payments on their own bookings without seeing cost or margin. When staff need to change a recorded booking, they send a request and a manager approves or rejects it, so no number changes quietly.

Payments and collection

Every payment carries its own date and method, and the balance updates itself, so you can see who still owes you at a glance. For online collection, the platform lists Mamo Pay and Tabby in the UAE, with Paymob or Fawaterak setup available, and you can connect your own gateway accounts to collect from your customers. UAE gateways settle in AED even when a price is displayed in another currency. Payment methods are editable from the screen: the site's example is adding Tabby by typing it in and saving, with no developer and no release.

Expenses, profit and VAT

Each cost is recorded with who spent it, on what, by which payment method, and linked to its booking or book of business. Trip costs are separated from general overheads, so net profit is a real figure. Profit per trip is calculated as you type, covering boat cost, add-ons, gateway fees and tax. For the accountant there is a dedicated screen with VAT return, debtor and creditor ageing, suppliers and their bills, and month-end close, all exportable to CSV. The VAT tool also names every line whose tax cannot be reclaimed and what is missing from it.

Reports and multiple brands

Reports export to Excel and PDF or go by email, counted by booking date or payment date. If you run several brands or branches, each book of business keeps its own income, cost and profit, and a consolidated report puts them on one line with the company total at the bottom. WhatsApp inbox and WhatsApp automation screens round out the sales side.

Who it is for

  • Charter companies with one or several branches, for example in Dubai Marina and Dubai Harbour.
  • Brokers and agencies who sell other operators' yachts and need cost and margin per trip.
  • Groups running several brands that want separate books with one combined view.
  • Resellers: the platform can be offered to other charter companies without handing over the source code.

Getting started, step by step

  1. Create an account and pick a plan. The sign-up asks for a name and one way to reach you, then confirms your email with a six-digit code.
  2. Set your country, which decides your currency and the payment methods available.
  3. Add yachts, providers and staff, or import your existing bookings from Excel. The team reconciles the totals against your file before anything is accepted, so disagreements surface early.
  4. Set roles and permissions, branding and branches.
  5. Start recording bookings and payments; the dashboard updates as you go.

The site promises a path from sign-up to your first report on the same day, with help moving existing data and setting up a gateway.

Pricing and trial

Plans are billed monthly or yearly and sized to the company, with the message "pay for the size you are." Prices exclude VAT. Every plan starts with a free trial with every feature and no credit card. When a trial or subscription ends the account pauses and the data stays, and you can export everything to Excel and PDF. There is no contract and no lock-in.

Data security

Each company is isolated at the database level, not just hidden in the interface. Support staff cannot enter your account unless you grant access from inside the system; that grant expires automatically, each entry is logged with time and reason, and you can revoke it at any moment.

FAQ

Can I bring my data from Excel?

Yes. Yacht CRM imports bookings and costs and reconciles totals against your file before accepting them.

Can I stop staff seeing profit?

Yes. Permissions are granular, so a salesperson can see their own bookings and record payments without seeing cost, margin or other books of business.

Is there a mobile app?

The system runs in a mobile browser, and there is an Android app for the team.
